CleanPaper Privacy Policy
Effective date: October 20, 2026 (version 4)
This policy explains how EliteWicks LLC, a Florida limited liability company doing business as CleanPaper ("CleanPaper", "we", "us"), handles personal information in the CleanPaper website and app. Questions or requests: support@cleanpaper.io. This policy is part of our Terms of Service.
1. Who is responsible for what
- Agencies that subscribe to CleanPaper decide which of their people use it and what those people are asked to do and upload. For information about an agency's own staff (its owner, managers and agents), the agency is responsible for how it is used, and CleanPaper processes it on the agency's behalf.
- For visitors to our website and agency owners as our customers, CleanPaper is responsible for that information.
If you are an agent or manager and want to see, correct or delete your information, ask your agency's owner first; we will help them.
2. What we collect
Account information. Name, email address and a securely hashed password (we never see or store your actual password). Your role, office and team in your agency.
Training and work records. Lessons opened and completed, time actively spent on lessons, knowledge-check answers and results, tasks and journey progress, signed acknowledgments (the text you signed, your name and the time), certifications, manager readiness decisions, coaching notes, production entries your agency records (such as deals and premium), and states you sell in.
Documents you upload. Files such as insurance licenses and E&O certificates. These are kept in private storage and are visible only to you, the managers responsible for you, and your agency's owner.
Agency information. Agency name, logo and settings, products, scripts, pay plans and other content the agency adds.
Billing information. Handled by our payment provider, Polar. We receive a customer ID, your plan, seat count and subscription status. We never receive or store your full card number.
Security and sign-in information. When you sign in, we record the time, your device's IP address and browser type with your session, to keep accounts secure and investigate misuse.
Anonymous website counts. We count four steps in our sign-up process (a trial button clicked, the sign-up form started, checkout started, a trial activated). These counts include no name, email, IP address or cookie, and cannot identify anyone.
Support email. If you email support@cleanpaper.io, we keep that correspondence.
3. What we don't collect
- No advertising or tracking cookies, and we don't sell or share personal information for advertising.
- AI chat messages are not saved after the reply is shown.
- Documents uploaded to "Fill from your documents" are read once to suggest settings and are not kept.
- CleanPaper is not built to hold insurance customers' (consumers') health information, Social Security numbers or financial account numbers, and our Terms prohibit uploading them.
4. How we use information
- to provide CleanPaper: sign-in, training, journeys, certifications, manager tools and reports;
- to send service email: invitations, sign-in and password links, notifications and digests your agency has turned on, and receipts;
- to bill subscriptions;
- to keep CleanPaper secure, prevent abuse and fix problems;
- to support your agency when it asks for help, including a read-only view of the agency by our administrators, which is recorded on the owner's Activity page each time;
- to understand and improve CleanPaper using aggregated, de-identified statistics.
We do not sell personal information.
5. Who we share it with
Only the service providers that run CleanPaper, each limited to what it needs:
| Provider | What it does |
|---|---|
| Vercel | Hosts the website and app, and stores uploaded files |
| Neon | Hosts the database |
| Resend | Sends CleanPaper's emails |
| Polar (with its card processor, Stripe) | Takes subscription payments as merchant of record, and handles taxes and invoices |
| OpenRouter and the AI model providers it routes to | Reads uploaded documents for "Fill from your documents" and answers AI chat questions. Some model providers may use what they receive to improve their models, under their own terms. |
| Google Workspace | Our support email inbox |
We may also disclose information if the law requires it, to protect people's safety or our rights, or as part of a sale or merger of the business (with this policy continuing to apply).
6. Cookies
CleanPaper uses only the cookies it needs to work: a sign-in session cookie, and small preference settings (such as your chosen display mode and light or dark theme). There are no advertising or analytics cookies.
7. How long we keep information
- While an agency's subscription is active, we keep its information to provide CleanPaper.
- When a subscription ends, we keep the agency's information for 30 days so it can restart without losing anything, then permanently delete it, including uploaded documents. While subscribed, the owner can download the agency's records at any time from Export your data. During those 30 days the owner can ask for an export of the agency's records, or ask us to delete them sooner, at support@cleanpaper.io.
- We may keep billing and tax records, and records the law requires us to keep, for as long as required.
- When a person leaves an agency, the agency's records about their training and work stay with the agency, as part of its business records.
- Sign-in session records expire automatically.
8. Security
Information is encrypted in transit (HTTPS) and encrypted at rest (AES-256) by our database and file storage providers. Agent documents are kept in private storage that can't be reached by a public link. Access inside each agency is limited by role. No system is perfectly secure. If we confirm a breach that exposes an agency's data, we will notify that agency's owner within 72 hours of confirming it, and notify individuals as the law requires.
9. Your choices and rights
You can ask to see, correct or delete your personal information, or ask questions about this policy, at support@cleanpaper.io. For information an agency holds about its own staff, we will work with that agency's owner. Depending on where you live, you may have additional rights under state law; we will honor requests as those laws require.
10. Children
CleanPaper is for working professionals and is not intended for anyone under 18.
11. Changes to this policy
We will post any update here with a new effective date. Material changes follow the same rule as our Terms of Service (section 13): we email agency owners at least 30 days in advance, and the change takes effect for an agency at its next renewal after that notice. Changes that are not material, such as clarifications and corrections, take effect when posted.
